An AI receptionist for home services that picks up when you are under a sink

Your phone rings the most when you are least able to answer it. You are in a crawlspace, on a roof, or driving between jobs with both hands full. GateKeeperAI is an AI receptionist for home services that answers those calls, gets the address and the problem, and puts a finished lead in your CRM before the homeowner calls the next name on Google.

GateKeeperAI lead record from an after hours call to a plumbing company: a burst pipe at the basement laundry wall with the water shut off, a furnace not heating, and a visit booked for 7:00 the next morning

Where leads leak

Why home service calls slip away

It works for plumbing, HVAC, electrical, roofing and cleaning outfits. You write the questions, so it asks what your dispatcher would ask: is water still running, is the unit blowing warm, is anyone without power. During business hours it can live transfer a hot call to your team. After hours it books the earliest open slot and alerts you, so the 9pm burst pipe is on your schedule, not your competitor’s.

If you would rather keep answering yourself, the CRM plan gives you a business number that rings your cell. Every forwarded call is recorded, transcribed and written up as a lead, so the name and address you scribbled on a receipt are already in the pipeline.

The emergency call goes to whoever answers first

A homeowner with water on the floor does not leave a voicemail. They call you, then the next company, then the one after that. The first company that picks up and says someone is coming gets the job, and usually the repeat work after it.

You cannot quote from the ladder

Picking up mid job means a rushed call, a half heard address and a promise to call back that slips to tomorrow. By then the customer has a crew scheduled. Letting it ring is worse.

Half the details show up at the door

Gate codes, a dog in the yard, a renter who needs the landlord’s okay, a panel in the garage. When nobody asked on the phone, your tech finds out on the porch and the first twenty minutes of the visit go to sorting it out.

Intake

The questions your dispatcher would ask

What the AI asks your callers

  • What is the address where the work is needed?
  • What is going on? For example a leak, no heat, no cooling, a tripped breaker or a roof leak.
  • Is it happening right now, and is anything getting damaged while we talk?
  • Have you been able to shut off the water or the power to that area?
  • Do you own the home, or are you renting?
  • If you rent, is the landlord or property manager okay with you booking the repair?
  • Is there a gate code, a lockbox, or a pet we should know about before we arrive?
  • What is the best window for a callback today?

What lands on the lead card

  • Caller name and callback number
  • Service address
  • Problem type (plumbing, HVAC, electrical, roofing, cleaning)
  • Urgency and whether damage is ongoing
  • Homeowner or renter, with landlord approval noted
  • Access notes: gate code, lockbox, pets, where the shutoff or panel is
  • Best callback window
  • Booked slot, call recording and transcript

On the phone

A burst pipe at 9pm, answered

Sample call. The business and the caller are fictional.

  1. GateKeeperAI: Thanks for calling Hartwell Plumbing. This is the after hours line. What’s going on tonight?

  2. Caller: A pipe burst under my kitchen sink. There’s water all over the floor.

  3. GateKeeperAI: Sorry, that’s a rough night. Is the water shut off now, or is it still running?

  4. Caller: My husband found the main valve in the garage. It’s off now.

  5. GateKeeperAI: Okay, I’ll note that the water is off. What’s the address, and do you own the home or rent it?

  6. Caller: 412 Pinecrest Drive. We own it. There’s a side gate, code 1180, and a friendly dog.

  7. GateKeeperAI: Got it. The earliest open slot is 7:30 tomorrow morning. Should I put you down for that?

  8. Caller: Yes, please.

  9. GateKeeperAI: You’re booked for 7:30. I’ve passed your address, the gate code and the note about the dog to the team, and the owner has been alerted about your call tonight.

After the call

Running the jobs once the call is in

Know the second a job comes in

A new lead alert lands on your phone with the address, the problem and the urgency, so you can decide from the truck whether tonight’s call is worth a drive or can wait for the morning slot.

Operate and up

A board you can run the week from

Drag jobs from new call to estimate sent to scheduled to done. Add a task to follow up on the water heater quote you gave on Tuesday, and see which estimates are still sitting open.

Included on every plan

Let homeowners pick a time themselves

Share an online booking page for tune ups, inspections and cleanings. Customers choose a slot, get a reminder before the visit, and the appointment is on the calendar without a phone call.

Questions

Questions from plumbers, HVAC techs and roofers

Will the AI send a tech out at 2am?

No. It does not dispatch anyone. After hours it gathers the details, books the earliest slot on your schedule and alerts you. If you run an on call emergency service, you see the lead right away and decide whether to roll a truck.

Can it quote a price for a water heater or a service call?

Only if you tell it to. You write what it says. Many shops give the trip charge or diagnostic fee and leave real quotes to the tech who sees the job, and the AI will follow whichever approach you choose.

What happens if a caller smells gas or sees sparks?

The AI tells anyone describing an emergency, a gas smell, sparks, flooding with electrical risk, or someone hurt, to call 911 first. It still gives no repair or safety instructions beyond that, and it takes their details so you can follow up.

Can calls go straight to my crew during the day?

Yes. During the business hours you set, the AI can live transfer a call to you or your office. Outside those hours it never transfers, it takes the details and books.

I only do cleaning and small jobs. Do I need the AI plan?

Not necessarily. The CRM plans give you a business number that rings your phone, and the calls you take are recorded, transcribed and written up as leads. Start there and add the AI Receptionist if missed calls become the problem.
