A Ruby receptionist alternative only makes sense if you can live without a person on every call. Ruby sells live receptionists billed by the minute. GateKeeperAI sells an AI receptionist from $200 a month that comes with a CRM, plus CRM plans from $40 where calls ring through to you and get written up as leads.

What Ruby sells and how it bills
Ruby is a live virtual receptionist service. People answer with your greeting, take messages, transfer callers and book appointments. Ruby's pricing page lists four receptionist plans: $250 a month for 50 minutes, $395 for 100, $720 for 200 and $1,725 for 500. It says plans differ only in minutes, with no fees for activation, onboarding or setup.
Ruby's FAQ says receptionist minutes are billed in 60 second increments and rounded up, so a 10 second call counts as a full minute. The clock includes hold time and any time the receptionist spends finishing notes after the caller hangs up, but not talk time after a transfer to you. Minutes past your plan are billed at that plan's overage rate, which Ruby's help center lists as $5.40 a minute on the 50 minute plan, $4.50 on 100, $4.40 on 200 and $4.00 on 500.
When Ruby is the better pick
- Your callers need a person every time. If many of your customers hang up on any automated voice, a live service removes that problem. Ruby's pricing page describes its service as 100% live, and says optional AI enhancements are included on every plan at no extra cost.
- Your calls are emotional or delicate. A funeral home or a contractor fielding an upset customer after a flood gets calls where tone matters more than speed. A person can hear that a caller is upset and change how they handle the call.
- Your calls need judgment that does not fit a script. Our AI asks the intake questions you approve on the setup call. A receptionist can decide what to do with a call nobody planned for.
- Many callers speak Spanish. Ruby's FAQ says optional Spanish bilingual service is included with every receptionist account at no extra cost. The same FAQ calls it 24/7 in one answer and, in another, lists bilingual service and outbound call assists as Monday to Friday, 5am to 6pm Pacific. Ask Ruby which applies to you. Our pricing page does not list language options.
- You run a medical office that needs HIPAA compliant answering. Ruby's FAQ says its HIPAA compliant receptionist and chat services are available at no extra charge.
- You already run a CRM you like. Ruby's integrations page lists connections to HubSpot, Salesforce, Keap, Follow Up Boss, JobNimbus and others, plus Zapier.
It also fits an owner who mostly answers the phone. Ruby's receptionist page says you can set Ruby as backup, so it answers only when you do not.
Pricing compared at 100 calls a month
Take a home services company that gets 100 calls a month. Assume each call uses 70 seconds of total billable receptionist time, including any hold time and post call notes. Our side assumes GateKeeperAI's $200 starting monthly price and setup from $250.
- Ruby at 70 seconds: rounding up, each call bills as 2 minutes. 100 calls × 2 minutes = 200 receptionist minutes, which fits the 200 minute plan at $720 a month. Over 12 months: $720 × 12 = $8,640.
- Ruby at 50 seconds: each call bills as 1 minute. 100 calls × 1 minute = 100 minutes, which fits the 100 minute plan at $395 a month. Over 12 months: $395 × 12 = $4,740.
- GateKeeperAI: 200 minutes is well inside the 500 talk minutes on the AI Receptionist plan. Over 12 months: $200 × 12 + $250 = $2,650, before any change to the setup quote.
On those assumptions our first year comes in $5,990 lower than Ruby at 70 second calls and $2,090 lower at 50 second calls, and the CRM is inside our number. A higher setup quote narrows that gap. Switching from Ruby, or running both
Ruby's FAQ says there is no long term contract. Outside a refund or trial period, cancellation takes effect at the end of the current billing period. First time users who cancel within 21 days, or before using 500 receptionist minutes, whichever comes first, can get a full refund.
To switch, book our setup call, approve your intake questions, and test the AI on your line while Ruby is still active. Time your cancellation with Ruby for the end of a billing period. If you ported your number to Ruby, ask them how porting it back out works before you cancel.

Ruby's integration list does not name GateKeeperAI, and we do not list an integration with Ruby, so you could add Ruby's call messages to the pipeline by hand.
